Dear Members,

 

As Trustees, we are now able to announce the date of our next Annual General Meeting.

The meeting will take place on the 1st November 2025, at 3.30 pm, at the Polish Bomber Squadrons Centre, RAF Ingham Heritage Centre, Middle Lane, Fillingham, Gainsborough, Lincolnshire DN21 5BU.

This Annual General Meeting has been delayed to the extent that it does not meet the 15 month maximum period between AGMs set out in our governing documents. However, following significant changes in the Trustee group in early September 2025, swift action has been taken to address the issue, and establish the AGM as soon as is practicable. We have given additional notice of the meeting, to allow as many members to attend as possible.

 

The meeting agenda will include the following items:

 

• Accounts for the Charity for the year to 28th February 2025 (our financial year end), for approval;

 

• The Trustees’ Report concerning the progress made during the year to 28th February 2025;

 

• An update on progress made during 2025 so far;

 

• An update on the developing volunteer group, and the Management Team arrangements;

 

• An initial view of future priorities, projects and events for the year ahead;

 

• Proposals for the re-development of the White Eagle newsletter;

 

• Election of Trustees to support the team through the next year.

 

If any member wishes to add any item to the agenda for discussion or decision, or have any other queries to raise, these should be shared with the Management Team, via email to enquiries@rafingham.co.uk, prior to 11th October 2025.

Finally, it should be noted that voting eligibility will be based upon those who were members of the Charity on 27th September 2025, and who remain members at the date of the meeting, 1st November 2025. Members joining subsequently, and volunteers who are not yet Members, are welcome to join the AGM meeting and participate, but will not be able to vote – until next time!

 

To clarify the voting rules, Individual Memberships will entitle one vote, and Family Membership will allow up to 2 votes, where both voters are in attendance and able to demonstrate membership. Please bring your membership cards on the day to validate your voting entitlement. Any proxy voting arrangements must be confirmed in writing to the Trustees by 11th October 2025.

 

For any Member wishing to put themselves forward for election as Trustee at the AGM, candidates should provide the following documentation:

 

1. A proposal motion, signed by both the Member standing for Trustee, and a fellow Member acting to propose their suitability for election, with a document including all information required from the candidate to be appropriately recorded as a Trustee/Director on both the Companies House and Charity Commission registers;

 

1. A statement of fitness and qualification to act as a Director and Trustee signed by the Trustee applicant (see Appendix 1 below);

 

1. To aid Members in the evaluation of Candidates, each candidate should also provide both:

 

1. An up-to-date CV, or a completed application form (see Appendix 2 below), and;

2. A statement outlining why they wish to become a Trustee, and what benefit they feel they could bring to our Charity in achieving its goals.

 

Prospective candidates are encouraged to contact existing Trustees to discuss their application before any submission, to obtain appropriate advice and support. Please be aware that any information you supply will be shared as part of sharing information to support the AGM.

 

Appropriately supported applications for election as Trustee should be submitted by 11th October 2025. Applications received up to 18th October 2025 may be considered, where fully complete.

2024 and 2025 have been significant and positive years for us - we have a lot to look forward to in 2026.
